Privacy Policy
MediqRounds is operated by iQlear LLC ("iQlear", "we", "us"). This policy explains what information we collect when you use MediqRounds (the "Service"), how we use it, who we share it with, and the choices you have.
1. Do not enter real patient information
MediqRounds is an educational tool. Every case in the Service is a fictional, simulated scenario. Do not record, type, or upload information about real patients, including names, dates, record numbers, or any other identifying detail. The Service is not designed to receive protected health information, and iQlear is not acting as a covered entity or business associate under HIPAA. If you include real patient information by mistake, contact us and we will help you delete it.
2. Information we collect
Account information
You sign in with Google or with Apple. From Google we receive your name, email address, profile photo, and Google account identifier. From Apple we receive your Apple account identifier, your email address (or the private relay address Apple creates if you choose to hide your email), and your name the first time you sign in. We also store the training level you choose (for example, medical student, intern, or resident).
Practice data
- Audio recordings. When you record a presentation, the audio is sent to our transcription provider and converted to text. We do not store your audio recordings.
- Transcripts and feedback. We store the text of your presentations, the AI-generated feedback and scores, and your progress (for example, cases completed, attempts, and your acceptance of the educational disclaimer). This is saved to your account so it is available on any device, and a copy is kept in your browser's local storage.
Messages you send us
If you send feedback from the help button, we store your message with your account and the screen you were on. If you record a spoken message, the audio is sent to our transcription provider and converted to text; we keep the text and do not store the audio. Your messages are deleted when you delete your account.
Payments and access
- Purchases. If you buy a plan, you pay on a page run by Stripe, our payment processor. Stripe collects your card details, email, and billing address. We do not receive or store your card number. We keep a record of the purchase: the plan, the payment reference, and the dates your access starts and ends.
- Access codes. If you use an access code, we record that your account used it and the dates of your access. Codes are stored as one-way cryptographic codes.
Technical information
- Session cookie. After you sign in, we set one strictly necessary cookie that keeps you logged in for up to 30 days. We do not use advertising or analytics cookies.
- Usage limits. To prevent abuse, we count requests per account. These counters are stored as one-way cryptographic codes, not as your raw IP address or Google identifier.
- Server logs. Our hosting provider processes standard technical data such as IP address, browser type, and request times to deliver and secure the Service.
3. How we use information
- To create and secure your account and keep you signed in.
- To transcribe your presentations and generate educational feedback.
- To save and restore your progress across devices.
- To process purchases and refunds, and to give you the access you paid for or received with a code.
- To prevent abuse, fix problems, and improve the Service.
- To contact you about your account or important changes to the Service.
We do not sell your personal information, and we do not use it for advertising.
4. Service providers
We share information only with the providers we need to run the Service, and only for that purpose:
- Cloudflare hosts the Service and stores account and progress data.
- Apple provides Sign in with Apple, if you choose it.
- Google provides Google Sign-In and a Gemini AI model that generates feedback from your transcript. Web fonts are also loaded from Google.
- OpenAI transcribes your audio recordings and provides an AI model that generates feedback from your transcript.
- Stripe processes payments, under its own privacy policy.
The AI providers receive the transcript of your presentation and the simulated case, not your name or email. We use their paid API services, under terms that do not allow them to use the content we send to train their models. These providers may keep data for a limited period for security and abuse monitoring, under their own privacy policies.
We may also disclose information if required by law, or to protect the rights, safety, or property of iQlear, our users, or others. If iQlear is involved in a merger or acquisition, information may be transferred as part of that transaction, subject to this policy.
5. How long we keep information
We keep your account and practice data while your account is active. You can delete your account at any time in Settings. This permanently deletes your account, saved progress, and access records from our servers and clears the data stored in your browser. Our providers may keep limited copies for a short period as described above. Stripe keeps payment records as required for tax, accounting, and fraud prevention.
6. Security
We use encrypted connections (HTTPS), signed and HTTP-only session cookies, and access controls to protect your information. No online service can guarantee complete security, so please use a secure Google account.
7. Your choices and rights
You can review your progress in the Service and delete your account at any time. Depending on where you live, you may have rights to access, correct, delete, or export your personal information, or to object to certain processing. To make a request, email [email protected]. We will not discriminate against you for exercising these rights.
8. International users
iQlear is based in the United States, and our providers may process information in the United States and other countries. By using the Service, you understand that your information may be processed outside your country of residence.
9. Age requirement
The Service is intended for medical students, physicians, and other adults in health professions training. It is not directed to anyone under 18, and we do not knowingly collect information from children.
10. Changes to this policy
We may update this policy. If we make material changes, we will update the date above and notify you in the Service or by email before the changes take effect.
